Capacity & waiting lists

Set a maximum per session and Club Planner shows booked-versus-free and marks a class full. When someone cancels, the next person on the waiting list is moved into the spot automatically.

Rules that protect your slots

Decide how far ahead members may book, a cut-off before the start, a cancellation window with or without refund, a limit of X bookings per week, an age limit, and which subscription grants access.

Confirmations & check-in

Every booking sends a confirmation e-mail with a calendar file the member can add to their own agenda. Cancellations trigger an e-mail or SMS, and you check people in straight from the session.

Activities

Set up each activity exactly as your club sells it.

Group classes, single events, series or one-off sessions — each with its own duration, minimum and maximum participants, age limits, instructors and rooms, and an auto-cancel if a session stays under-booked.

Price every activity the way you charge for it: covered by subscription, pay-per-use, or deducted from member credit — with named price categories like adult and child, and automatic reductions per member status.

Add a booking question when you need one, decide per activity whether it shows on the web, and give it its own title, note and picture for the member portal.
