AI that does the work, not a chat window.

Almost every supplier has bolted a chatbot onto its software. In Club Planner the AI sits inside the same database your club runs on, so it can actually do things: plan an appointment, open a support ticket, send someone a login link. Answering is the easy half.

Club Planner
Running today

Not a roadmap. This is what is live.

Every item below is in production right now, for real clubs and real members.

A chatbot on your own website

It answers what your members ask, qualifies the people who are still shopping around, and plans appointments straight into your agenda — in the visitor's own language, at two in the morning as readily as at noon.

An assistant for your team

Ask for the members who were active last month, or which subscriptions expire in June, the way you would ask a colleague. No report to build, no filter to figure out.

Support that has already looked into it

Every ticket that reaches us is investigated by AI before a human picks it up: it digs through the data and the code, works out what is actually going on and hands our team a proposed fix, complete with the queries and the lines of code it points to. Your question arrives with the groundwork already done.

Locked out? It fixes that itself

Staff and members who cannot get in are sent a link to set a new password themselves — from our own address, so it arrives even when the club's own mail does not. Nobody's password is changed until they choose a new one.

Leads that follow themselves up

A visitor who leaves their details becomes a lead in your sales pipeline, with the appointment already planned and the confirmation already sent. Your team walks in on a conversation that is halfway there.

Nothing to set up

The AI is provided by Club Planner. There is no key to buy, no model to choose, no technical setting to maintain — it is simply part of the platform.

Why it works here

Because it is not sitting on the outside.

A chatbot that has been bolted on can only talk. It reads a help page, guesses an answer and hands you back to a human the moment something has to happen.

Ours runs inside your club's own database — the same one holding your members, your schedule, your subscriptions. So when it says an appointment is booked, the appointment is booked. When it says support has your question, the ticket exists and has a number.

That is also why your data stays where it belongs. The AI reaches into your club's database, not into a copy parked somewhere else, and it is hosted in the EU like the rest of the platform.

Where we draw the line

What our AI deliberately does not do.

This part matters more than the features. Knowing where something stops is what makes the rest worth trusting.

It does not decide about money

No contract is signed, cancelled or charged by an AI. Anything touching a subscription, an invoice or a direct debit goes to a person.

It does not open personal accounts

A member's account is never opened on someone else's word. A login link only ever goes to the address already on file — never to an address a visitor types in.

It does not invent

It works from your club's own data. When it does not know something, it says so and passes the question on instead of filling the gap with something that sounds right.

It leaves a trail

What the AI does is recorded in the same log as everything else in Club Planner, so you can always see what happened and when.

It is not your only way in

Every club keeps a phone number and a person. The AI takes work off your hands; it is not a wall in front of our team.

Your data is not someone else's training set

Your members' data is used to answer your questions. It is not handed over to train a public model.

And we build with it too

It is why things arrive so quickly.

Our own developers work with AI every day. A feature that used to take weeks of planning now gets designed, built, tested and released in a matter of days — sometimes on the same day a customer asks for it.

It does not replace the judgement. Everything still goes through the same review, the same testing and the same release as before, and a person decides what ships. What changed is the pace, not the care.

For your club it comes down to something simple: when you report a problem or ask for something, the wait is measured in days rather than in the next release cycle.
